Chapter 8- Communication (Verbal)
One of the biggest skills you need in the working life is communication throughout the next two chapters we are going to discuss speaking, listening and then how to apply this at work to help you communicate better.
Talking is easy; however communication entails an exchange and correct understanding which requires greater skills. I am sure you can right away think of a wide list of misunderstandings you or friends had, also between people that speak the same mother tongue. An exchange that is an effective communion demands that we listen and speak skilfully, not just talk mindlessly. When caught up in emotions we and maybe others are less skilful and it is even more difficult interacting with fearful, angry, or frustrated people.
There is no reason to live with miscommunication throughout our lives, since communication skills can be learned. Good communicators can be honed or trained as well as born. Here are a few tips to get you started. You should not take another person's reaction or anger personally, even if they lash out at you in something that seems to be a personal manner. The response or the mood of another person is more likely about frustration or fear than it is about you as an individual. Take a deep breath and count to 10. Look at it as a way of letting the other person vent before he/she is able to communicate what's really on his/her mind. It is good to treat topics factual, not emotional. Responding means giving facts and feelings, contrariwise reacting means just the burst out of feelings. Try to work on a response, but don’t react. When being angry we are more likely to say things we later regret. You will find it much easier to communicate once the big storm has calmed down.
It may be that you have been asked something and you do not know the answer to the question. It’s no problem to say, "I don't know". You don't need to have all the answers. If you can find out more about it and you want to research to find an answer, say so and then go ahead and do so. It’s also possible you and your colleague or boss or friend to decide to work on the problem together to find the answer.
Making communication better for everyone may result in you saying some nice gestures once in a while such as," Tell me more about your concern" or "I understand your frustration" instead of defending yourself saying "Hey, I'm just doing my job" or "It's not my job". Saying so will probably cause more irritation. It is better to share responsibility for any communication in which you're a participant, and realise that sometimes, or maybe often, your own personal reactions may be causing your frustrations with others. Next time you are in a discussion with someone, take a deep breath and develop your thoughts and feelings in a response! You will see how much further this takes you!
Communication is not all about speaking though. The second big part of it is listening.
